great point.=C2=A0 This document will not be the only source of information about reimbursement, but is an overview of the event for everyone who will be involved.=C2=A0 I agree that the information shoul= d align with the reimbursement policy.=C2=A0

In the 'how to participate as a PhD student' section, I added the line that students do not have to submit a work in progress to participate in the incubator, but it is strongly recommended.=C2=A0 If this should be moved to another place in the document, we can do that.=C2=A0

Sareh has often made the point that usually if transportation and accommodation are covered (which is itself rare), then students should be expected to present work of some kind.=C2=A0 This is an expensive event for us to run.=C2=A0 I would like as many PhDs to prese= nt their work as possible, rather than just come and talk about other people's work.

I recommend that reimbursement policy require online participation in advance of the annual conference, and participating in PhD and Annual Conference program events on Wednesday to Friday.=C2=A0 This is = in line with what we have done before.=C2=A0 This will be in the reimbursement policy document for PhDs.=C2=A0

This would make the events on Saturday optional.=C2=A0 Currently these are the AGM, the Research Conversations, and the PhD Administrative Meeting.=C2=A0 Saturday was the only reasonable time to include these without interfering with the informal discussion time that is so valuable during the conference, for networking.=C2=A0

Hi Sareh, I'm writing this in response to your comments in the word document.

Based on the mandate of CBERN to break down knowledge silos and generate cross-sectoral discussion, from my perspective it is better to open the doors to the non-faculty advisors, and make exceptions in cases where we can't find or it is not going to be beneficial to have non-faculty advisors involved for a particular session in the incubator.

I think that non-faculty advisors are often highly educated in the field. For example, with Bill Woof's paper which was possibly the most theoretical, our non-faculty advisor had a law degrees from Princeton and Harvard.

I don't think we will lose the academic/research edge off our PhD meetings due to the format of this incubator. We had excellent feedback on the surveys regarding the relevance of the sessions for developing ideas, and I don't think any of the sessions evidenced a dumbing down of the work due to the requirement that people present to a mixed audience. The smaller pods of themed works in progress in the incubator will deepen the discussion I think.

We can highlight to the non-faculty advisors that some of the work will be working on theory. And we will definitely make sure that students will be able to take advantage of academic advice.

It might be an idea to facilitate introductions of students to faculty throughout the event to foster the sorts of mentorship opportunities that you have developed independently over the years for example. These would be the sort of long-lasting relationship building opportunities that can be fostered both within and outside the incubator. So we can supplement it to maximize the opportunities. We could match people for meals for example. I'll add a checkbox to the registration form to help identify people.

This will help particularly in the case of academics who cannot participate in the Friday afternoon session, but would like to support the thesis work of PhDs.

Right now, the AGM will likely be for 45 minutes on Saturday morning. I wanted to make sure that it was not in conflict with the phd incubator on Friday. If it is during the AGM, there is a 'silo' effect on the graduate students that I would like to avoid. Right now the proposal is to have the PhD organizing meeting after lunch on Saturday, and the AGM and Research Conversations on Saturday morning.

This is a great suggestion Sareh. Can you explain the Academy of Management PhD workshop icebreaker in a bit more detail? How long does it take?

If people like the idea, we can include it in the two page event description document and hold it in advance of the incubator on Friday. We may have our highest non-faculty participation at this time, and so to put them together would make sense.

Hi Bill, one thing that we are working on is a revised PhD microsite that would have an alumni group and a current PhD group.

Part of the difficulty with what you outline here is that we do not have the resources to keep track of all students rolling through their programs, and not everyone finishes on a predictable timeline. However if we make something available for people to self-organize based on interests, this would cover the classifications you describe, plus others. Work in progress. We will work with the committee on this over the summer.

I think that sending out an invite at ASAC would be great. This would mean that we would have to have the plan for the meeting set before ASAC, which is June 9-15th in St. John's, NF. http://www.asac.ca/

One complication is that there may be a CURI day-long symposium on the Sunday before UNPRI PhD Day on October 1. This would push the Fall research meeting back by one day, or remove the Sunday morning sessions. This would probably be okay if we did PhD meeting on Friday and Saturday only, with the option for people to stay for CURI and then the PhD Day. Long weekend, but productive.

Thoughts? H
